The Clinical Operations team is looking for an executive assistant who solves tasks with a positive, can-do attitude and who sets high standards, feels comfortable in handling numerous tasks simultaneously, and effectively can deliver on a wide variety of assignments in a challenging environment.

The primary activities of the executive assistant are email handling, calendar management and support of Vice President, Head of Global Clinical Operations. On top of this you can influence which other administrative and development assignments will be part of your daily tasks.

The executive assistant will support the Head of Global Clinical Operations with ad hoc activities and work closely together with the Clinical Operations Support Manager and another administrative resource in Clinical Operations.


Responsibilities

While the priority is email handling and calendar management of Head of Global Clinical Operations, there will be many other tasks that can be shaped according to personal competences and preferences.

Primary activities

  • Ensure handling of emails and meeting bookings of Vice President, Head of Global Clinical Operations
  • Collect input to, create, edit and QC documents, trackers, and presentations e.g. presentations for senior management endorsements, quality management review, executive steering committees with vendors, introduction to new employees etc.
  • Review and ensure high linguistic level and presentable layout of emails, documents, presentations, and other written materials
  • Book and coordinate meetings including preparation of agenda, minutes, and follow up on relevant activities/tasks
  • Plan department and other meetings as well as team, and social events (virtual and face-to-face) in Clinical Operations including preparation of agenda and presentations
  • Support ensuring a uniform and cross-functional communication within Clinical Operations
  • Support with various administrative tasks including coordination of job interviews
  • Support travel booking and expense reports generation for HoD

Apart from the primary activities, the executive assistant will perform other administrative and development tasks within communication, coordination and booking of meetings and department events as well as support of various department and company processes. Examples of tasks:

  • Keep track of Project & Organizations key objectives and follow up with Subject Matter Experts
  • Keep oversight of SOP Read & Understood, department dossier and department record retention plan
  • Coordinate budget review rounds and maintain department budget
  • Keep oversight of training activities and develop annual wheel for department
  • Support onboarding of employees
  • Superuser in administrative systems like Workday, GenDocs (Veeva Vault)
  • Perform other tasks, assignments and project work as needed and specified by manager

Requirements

  • Preferably 3 years of experience in a similar role

  • International oriented and with a multicultural understanding

  • A good understanding of IT solutions, Microsoft Office and especially Excel and PowerPoint

  • Excellent communications skills across organizational levels and with many different stakeholders

  • Proficiency in English both in writing and verbally

  • Proactive and robust with ownership attitude and solution oriented

  • Ability to work in a development-oriented environment where agility is a prerequisite

  • Trustworthy with a high integrity corresponding to the confidentiality you receive from the Clinical Operations Leadership Team and the Vice President, Head of Department, Clinical Operations

  • Team player

  • Ability to work independently and collaboratively, as required, in a fast-paced, team environment consisting of internal and external team members, adapting to changing priorities and deadlines

 

Furthermore, you thrive working in an international environment, characterized by on-going changes of procedures, systems, and processes. You will report to the Vice President, Head of Department, Clinical Operations.

The compensation package, which is negotiated individually, consists of a fixed salary.
The position is based in Copenhagen, Denmark.
